Audit Timeline Guidance

90 Days Out

  • Conduct a full internal compliance audit across all four critical categories
  • Pull Motor Vehicle Records (MVRs) for every driver and review for disqualifying violations
  • Verify all annual vehicle inspections are current — schedule any overdue inspections now
  • Enroll any new drivers in the DOT random drug and alcohol testing pool

60 Days Out

  • Complete all missing Driver Qualification File items for every active driver
  • Confirm ELD data is accessible and exportable for the prior 6 months
  • Verify Drug & Alcohol program enrollment and confirm your DER is identified and trained
  • Organize vehicle maintenance files by unit number with current PM logs and DVIR retention

30 Days Out

  • Run a FMCSA SAFER check — confirm insurance filings and operating authority are active
  • Review your SMS scores and address any flagged BASICs before the auditor arrives
  • Conduct a mock audit walkthrough using this checklist and identify remaining gaps
  • Ensure all policies have current signed receipts from every driver on file

1 Week Out

  • Organize all documents into labeled folders or binders by compliance category
  • Prepare a one-page company summary: DOT number, MC number, fleet size, and DER contact
  • Brief drivers on what to expect — verify they have required cab documents in every vehicle
  • Test your ELD export workflow and confirm records are accessible at the terminal
